Gathering the correct documents is the most important preparation step before starting your Dataflow verification. Missing or incorrectly formatted documents are the number one cause of delays. All documents must be scanned in colour at a minimum of 300 DPI. Any document not in English or Arabic must be accompanied by a certified translation from an accredited translation service.

Document Details and Requirements
Passport
Your passport serves as the primary identification document for your Dataflow case. The bio-data page must be clearly scanned showing your full legal name, photograph, date of birth, nationality, passport number, and expiry date. Your passport should be valid for at least six months from the date of your Dataflow application. If your passport is due to expire soon, consider renewing it before starting the process.
Medical Degree Certificate
Your primary medical qualification certificate is the cornerstone of your Dataflow verification. This is the original degree certificate issued by your university upon completion of your medical programme. The scan must clearly show the university name, your full name, the degree title, the date of award, and any official stamps or seals. If your university issues the certificate in a language other than English, you will need a certified translation.
Dataflow will contact your university directly to confirm the authenticity of this document. Inform your university registrar in advance that a verification request will be coming, as this can significantly speed up the process.
Academic Transcripts
You need complete transcripts covering all years of your medical education. Partial transcripts or grade sheets for individual years are not sufficient. The transcripts should show your name, student identification number, courses taken, grades received, and the dates of each academic year. They must be issued by the university on official letterhead or through an official transcript service.
Certificate of Good Standing
The certificate of good standing is issued by the medical council or regulatory authority in the country where you are currently registered. This document confirms that you hold a valid medical license, that there are no disciplinary actions against you, and that you are in good standing to practise medicine.
Many medical councils issue certificates of good standing with a validity period, often three to six months. Make sure your certificate is still valid when you submit it. If it expires during the Dataflow process, you may need to obtain a new one.
If you have been registered in multiple countries, you should obtain a good standing certificate from each one. Dataflow may request verification from all jurisdictions where you have held a medical license.
Experience Letters
Experience letters are one of the most frequently problematic documents in the Dataflow process. Each letter must meet specific requirements to be accepted:
- Printed on the official letterhead of the hospital, clinic, or healthcare facility
- Include your full name exactly as it appears on your passport
- State your job title and department
- Specify the exact start and end dates of employment (day, month, and year)
- Describe whether the position was full-time or part-time
- Be signed by an authorised representative (medical director, HR director, or department head)
- Include the signatory's name, title, and contact information
- Bear the official stamp or seal of the institution
You need a separate experience letter for each employer. If you worked at a hospital that has since closed or merged, contact the successor institution or the relevant health authority for documentation.
Postgraduate Qualifications
If you hold any postgraduate qualifications such as a Master's degree, a specialty diploma, or board certification, you will need to submit the original certificates along with any associated transcripts or examination results. These documents are verified in the same way as your primary degree.
Document Formatting Tips
Proper formatting of your scanned documents can prevent unnecessary delays. Scan all documents in colour, even if the originals are in black and white. Use a flatbed scanner rather than a phone camera for the best quality. Save files in PDF format. Ensure file sizes are within the upload limits specified on the Dataflow portal, typically no more than 2 MB per file.
Make sure no part of the document is cut off in the scan. All four edges of the document should be visible. Official stamps and seals must be clearly legible. If a document has content on both sides, scan both sides.
What Happens If a Document Is Missing
If Dataflow determines that a document is missing or incomplete, they will notify you through the online portal and by email. You will be given a timeframe to upload the missing document. Failing to respond within this timeframe can result in your case being put on hold or closed. Always monitor your Dataflow account and email regularly after submission.
